1) Scope
This policy covers subscriptions to Keptiva and optional deposits/pre-authorizations you enable for your customers.
2) Subscriptions (B2B)
Cancel anytime → effective at end of current billing cycle.
No pro-rated refunds for partial periods after the cycle starts.
If we materially fail to provide the Service for >24h in a billing cycle for reasons within our control, you may request service credit (up to one monthly fee).
3) Setup/onboarding fees
One-off setup or training fees are non-refundable once delivered.
4) Customer deposits / bookings (your end-users)
You, as the merchant of record, define your no-show/cancellation window (e.g., 24h before appointment for a free cancellation).
Late cancellations/no-shows: deposits may be forfeited per your terms shown to customers.
If you collect via Keptiva’s PSP integration, funds flow through the PSP to your account; Keptiva does not hold customer funds.
5) How to request
Email support@keptiva.com with CR/Company name, invoice/reference, and reason. We aim to respond within 3 business days.
6) Chargebacks
Please contact us first. Unwarranted chargebacks may lead to account suspension if repeated.
